The problem
Communicating website changes is broken for content teams
You manage the content. You know what needs to change. But getting those changes from your head to the live website involves a painful chain of emails, calls, and crossed wires — none of which you have time for.
Sound familiar? There’s a better way.
Feedback gets lost in email chains
You send a carefully worded explanation. It gets buried under 40 other emails, miscommunicated, or actioned on the wrong page.
Screenshots miss the point
You take a screenshot, crop it badly, forget to annotate it, and send it with “see attached.” Your colleague stares at it blankly.
Simple changes take forever
A heading update that should take two minutes takes two weeks because the brief was unclear and nobody followed up.
Nobody knows what’s been done
Is that issue fixed? Was it picked up? You have no idea without chasing – so you either nag, or it falls through the cracks.
The core difference

to it being fixed

Real world use cases
Common WordPress content management tasks made easier
From updating website copy to reviewing new pages before launch, content managers handle constant website changes. These are everyday tasks, and without the right system, they quickly become slow, messy, and hard to track.
Updating copy after a rebrand
Your brand guidelines just changed. You need to update headlines, CTAs, and product descriptions across 12 pages.
If you’ve ever launched a client project, you know the chaos:
1. Browse each page, click & flag
Highlight the heading, write the new copy right in the note. No spreadsheet needed.
2. Tag as “Content”, set priority
Your developer filters by tag and works through every copy update in one focused session.
3. Track progress on the board
Watch 12 open tasks turn to done over a few days. No chasing required.
The outcome
- Rebrand copy rolled out across all pages in one sprint
- Zero back-and-forth emails
- You can see exactly what’s done and what’s outstanding
Briefing a new image or layout change
The product photography has been updated. You need the old hero images replaced across several pages.
1. Highlight the image on the live site
The screenshot shows exactly which image you mean, on exactly which page. Zero ambiguity.
2. Upload the asset to your note
‘Replace with the new hero shot attached. Maintain 16:9 ratio.’
The brief writes itself.
3. Assign to your designer or developer
Visual reference, the brief, and the new asset – all in one, manageable place.
No follow-up call needed.
The outcome
- No ‘which image?’ confusion from your team
- Images updated correctly first time — brief is unambiguous
- 45 seconds to brief instead of 45 minutes
Monthly website update cycle
Every month: blog swaps, event dates, promotional banners, seasonal copy.
You need a clean system to brief your team without a recurring 30-minute catch-up call.
1. Flag updates as you spot them throughout the month
Add due dates on time-sensitive items so campaigns and promotions get prioritised automatically.
2. The team checks the board weekly
All tasks visible, prioritised, and assigned. No sync call needed to brief what’s outstanding.
3. Review the activity log at end of month
See everything completed, with a full trail of who changed what and when.
The outcome
- Monthly updates managed with no extra project management tool
- Developers and content team aligned without weekly calls
- Clear audit trail of every change made to the site
